The Role

The Operations Manager is responsible for overseeing and improving the day-to-day operations of the agency to ensure work is delivered efficiently, consistently, and at a high standard. This role acts as the connective tissue between leadership, delivery teams, and systems, ensuring strategy is translated into execution without friction.

The ideal candidate is operationally minded, process-driven, and comfortable working inside a digital marketing agency environment. They thrive on building systems, eliminating inefficiencies, and automating wherever possible. This role requires someone who can zoom out to see the full operational picture while still being willing to get into the details to make things run smoothly.

This is a hands-on leadership role that balances people management, process optimization, and operational accountability.

Responsibilities Can Include

- Owning and optimizing the agency’s day-to-day operational workflows across all departments.

Identifying inefficiencies and building standardized processes to improve delivery speed, quality, and consistency.

- Implementing and maintaining automation across internal systems wherever possible to reduce manual work.

- Managing capacity planning and resource allocation to ensure teams are properly staffed and workloads are balanced.

- Working closely with leadership to translate company goals into operational execution.

- Supporting and managing the team to ensure accountability, clarity, and follow-through.

- Working with Project Managers to maintain and improve overall project management systems to ensure work is tracked, prioritized, and completed on time.

- Collaborating with client-facing teams to support smooth client delivery and reduce operational friction.

- Monitoring operational KPIs and reporting on efficiency, utilization, and delivery performance.

- Identifying and implementing tools and technology to improve agency operations.

- Creating and documenting SOPs to ensure consistency and scalability across the business.

- Supporting onboarding, training, and process adoption for new team members.

- Acting as a problem-solver when operational issues arise, addressing root causes rather than symptoms.

Knowledge and Skill Requirements

- Minimum of 2 years of experience in an operations-focused role within a marketing agency.

- Leadership experience and experience managing cross-functional teams.

- Strong belief in and commitment to automation-first operations, with a desire and skills to systemize and automate as much as possible.

- Proven ability to build, document, and improve operational processes.

- Strong organizational skills with the ability to manage multiple moving parts without dropping the ball.

- Comfortable holding teams accountable and having crucial conversations while maintaining trust and respect.

- Experience using project management tools; ClickUp experience is considered an asset.

- High level of proficiency using Google Workspace (Docs, Sheets, Drive, Calendar).

- Familiarity with EOS (Entrepreneurial Operating System) is considered an asset.

- Ability to think critically, identify bottlenecks, and propose practical solutions.

- Strong written and verbal communication skills.

- Ability to work independently in a remote environment while staying closely aligned with leadership.
